Welcome to Sheffield Vehicle Hire. These Terms of Service ("Terms") outline the rules and guidelines for using our website and vehicle rental services. 1. Your Rental Agreement
Every vehicle rental is subject to a separate, detailed Rental Agreement that you will receive at the time of booking or vehicle collection. This agreement contains all the specific terms, conditions, insurance details, charges, and your responsibilities. If there's any difference between these Terms of Service and your Rental Agreement, the Rental Agreement will always take precedence.
2. Eligibility to Rent
To rent a vehicle from us, you must:
- Be at least 21 years old (age requirements may vary for certain vehicle types and will be specified in your Rental Agreement).
- Hold a valid, full driving licence appropriate for the vehicle category you wish to hire, held for a minimum period (usually 2 years).
- Provide valid identification (e.g., passport) and proof of your current address (e.g., utility bill).
- Supply valid payment information for both the rental cost and a security deposit.
- Meet any additional criteria specified in your specific Rental Agreement, including any driving history requirements.
3. Booking and Payment
- Bookings can be made via telephone or through our website.
- A booking deposit may be required to secure your reservation, which will be non-refundable in case of cancellation within a specified period.
- The full rental payment and a security deposit are typically due at or before the time of vehicle collection.
- Additional charges may apply for late returns, exceeding agreed mileage limits (if applicable), fuel shortages, or any damages incurred during your rental period.
- All prices are inclusive of VAT unless otherwise stated.
4. Vehicle Condition, Collection, and Return
- Upon collection, you must inspect the vehicle thoroughly and report any existing damage to our team immediately. A vehicle condition report will be completed and signed by both parties.
- You are responsible for returning the vehicle in the same condition as it was rented, allowing for fair wear and tear.
- Vehicles should be returned with the same fuel level as collected; otherwise, a refuelling charge will apply, plus the cost of fuel.
- Late returns may result in additional charges, as outlined in your Rental Agreement.
- You are responsible for any parking fines, speeding tickets, congestion charges, or other penalties incurred during your rental period. An administration fee may apply for processing such penalties.
5. Insurance and Your Responsibilities
- Basic third-party insurance is included with every rental. Full details of your cover, including any excess amounts, will be outlined in your Rental Agreement.
- Additional insurance options (e.g., excess reduction waivers) may be available to reduce your financial liability in case of damage or theft. These will be offered at the time of booking or collection.
- You are responsible for any damage, theft, or loss of the vehicle up to the amount of the insurance excess, unless otherwise covered by additional insurance purchased.
- Any damage caused by negligence, misuse, or breach of these Terms or the Rental Agreement will be your responsibility, regardless of insurance coverage.
6. Cancellations and Amendments
Our policies for cancellations and amendments can vary depending on the booking type and notice period. Specific details will be provided in your booking confirmation and your Rental Agreement. Please note that late cancellations or failure to show up for your booking may result in the forfeiture of any deposits or incur additional charges. We reserve the right to cancel a booking if you fail to meet our eligibility criteria or provide necessary documentation.
7. Prohibited Uses of the Vehicle
You agree not to use the rented vehicle for any of the following:
- Any illegal purpose or activity.
- Racing, off-roading, or other hazardous activities.
- Transporting hazardous, flammable, or illegal materials.
- Sub-renting the vehicle or allowing any unauthorised persons to drive it.
- Driving under the influence of alcohol or drugs.
- Any purpose for which the vehicle is not designed or intended.
- Carrying more passengers or weight than the vehicle is legally licensed for.
- Towing other vehicles unless explicitly permitted and agreed upon in advance in your Rental Agreement.
- Driving outside the agreed geographical limits (e.g., outside the UK without European cover).
8. Our Liability
To the fullest extent permitted by English law, Sheffield Vehicle Hire will not be liable for any indirect, incidental, or consequential damages that may arise from your use or inability to use our services. Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, or for fraud or fraudulent misrepresentation. Our total liability to you for any loss or damage arising under or in connection with these Terms, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, shall in no circumstances exceed the total rental fees paid by you for the specific rental in question.
9. Governing Law and Jurisdiction
These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from or related to these Terms will be subject to the exclusive jurisdiction of the courts of England and Wales.
10. Updates to These Terms
We reserve the right to modify these Terms of Service at any time. Any changes will become effective immediately upon being posted on our website. Your continued use of our services after any modifications constitutes your acceptance of the updated Terms.
